As a multi-location residential operator, Regency Living manages a diverse operational journey that spans plot development, home sales, customer documentation, site fees, quality checks, snagging and ongoing residential park management. This made technology a central consideration as the business looked to scale. From the outset, Regency Living wanted a platform that could support growth, provide a single source of truth and connect activity across head office, park teams, sales and finance.
Challenges before transformation
Before moving forward, Regency Living needed to address a set of operational challenges that would shape how the business scaled. As a growing residential park operator, the team needed stronger control over information, finance, sales documentation and operational processes. The priority was to avoid building around disconnected ways of working and instead create the right conditions for consistent growth across parks, teams and customer journeys.
Building the right foundations for growth
When Regency Living was being established, the leadership team knew the business needed more than a set of systems to manage day-to-day activity. It needed an operating model that would support rapid growth across multiple parks, departments and customer journeys. As Ryan Johnson, Interim Managing Director at Regency Living, explained: “We wanted to build a scalable platform to enable us to grow as quickly as possible.” The challenge was to put the right foundations in place early, before complexity became embedded in the business.
A central part of this was information control. Regency needed plot details, customer records, sales activity and park-level operations to be managed from a shared view of the business. Without that common structure, each team would start to work from its own version of the truth, creating duplicate records, inconsistent updates and gaps in visibility.
The business also needed its central and park-level teams to work in a consistent way. Head office required oversight across the organisation, while park supervisors and sales teams needed accurate information for day-to-day decisions. Without a joined-up operating model, Regency would find it harder to maintain control as new locations, homes and teams came into scope.
Improving financial visibility and forecasting
As a growing residential operator, Regency needed stronger financial visibility across plot development, home sales and operational activity. Finance could not sit separately from what was happening across the parks. The business needed to understand how development progress, stock decisions and sales activity affected cost, cash flow and future requirements.
A particular challenge was forecasting cost to complete. As plots and homes moved through different stages, Regency needed a reliable way to track progress and understand the financial impact of each stage. Without this structure, forecasting would rely too heavily on manual interpretation, delayed updates and information gathered from different parts of the business.
The team also needed financial information that would support timely commercial decisions. Stock ordering, sales planning and cash flow management all depended on having an accurate view of current activity. If finance, sales and operations were not aligned, re-forecasting would become slower, decision-making would become less confident and the business would have less control over future planning.
Streamlining the sales and customer journey
Regency’s sales and completion process involved more than moving a customer from enquiry to purchase. Each sale required important documentation, including written statements, plot plans and drawings. For a residential park operator, these documents needed to be accurate, consistent and properly managed because they formed part of the formal customer journey.
Manual document preparation created a clear bottleneck. Regency previously needed someone to prepare documentation for every completion, with each pack taking around half a day to produce. As sales volumes increased, that process would place more pressure on internal teams and slow down the movement from sale to completion.
The customer journey also needed to feel smooth and controlled from the buyer’s perspective. If documents were prepared manually, checked manually and passed between teams, delays and inconsistencies would become more likely. Regency needed to protect the quality of the customer experience while keeping the process manageable for the teams behind it.
Replacing paper-heavy operational processes
Across the home journey, Regency’s teams needed to manage checks, quality assurance and snagging in a practical way. The existing approach relied heavily on paper, with teams printing checklists, completing them on site, scanning them back in and uploading them afterwards. This made routine checks more time-consuming than they needed to be.
The paper-based process also limited visibility. Once a checklist had been completed, information still had to be captured, shared and reviewed before the wider business had a clear view of progress. That created delays in understanding what had been completed, what remained outstanding and where follow-up action was needed.
“They were having to print it off, go around, tick the sheets, then someone was having to scan it in. It was then getting uploaded onto the system, and that was taking hours, hours of people’s time.”

Snagging added another layer of operational complexity. Duplicate cases were sometimes raised for the same issue, which created wasted effort and made it harder to track the true status of a home. For Regency, this would affect both internal efficiency and the ability to manage customer expectations before handover.

Creating a scalable operating platform at Regency Living
Regency Living moved forward with a connected operating platform built around EliteParks and Microsoft Dynamics 365 Business Central. This created a shared foundation for park management and finance, supporting activity across head office, park supervisors, sales teams and operational staff.
The platform gave Regency a more consistent structure for managing information across the business. Plot details, park activity, sales information and financial data could be brought into one operating environment, helping teams work from the same view rather than relying on separate departmental processes.
The Microsoft technology stack was an important part of the decision, giving Regency room to build, report and improve over time. As Ryan describes: “Implementing Elite Dynamics gives you the ability to utilise the Microsoft technology stack and take advantage of that.”
Connecting finance, forecasting and operational data
Regency used Microsoft Dynamics 365 Business Central as the finance element of its operating platform, connecting financial processes more closely with park management activity. This gave the business a stronger basis for managing finance alongside operational progress, rather than treating the two as separate areas.
The team also built forecasting around the way plots and homes move through development. Build stages were introduced to give the business a clearer way to track progress, forecast cost to complete and understand the effect on cash flow and future planning.
Operational data also became part of commercial decision-making. As plot and home information moved through the business, Regency could make more informed decisions around stock ordering, sales planning and future requirements.
Digitising the sales and customer journey with EliteParks
Regency extended its operating model across the sales and customer journey, using CRM, EliteDeals and DocuSign to support the movement from sales activity through to customer documentation. This helped bring important stages of the customer process into a more controlled and consistent flow.
Written statements, plot plans and drawings became part of the digital customer journey. For a residential operator, this was particularly important because written statements are required under the Mobile Homes Act, and the supporting plans and drawings needed to be handled accurately as part of the completion process.
The result was a faster and more repeatable documentation process. As Ryan explained: “We used to employ someone who, for every completion, would sit there preparing the document manually, and it would take half a day to do one. Now it’s the press of a button.”
Building a digital home journey
Regency also built a digital home journey around plot development, logistics, quality checks, snagging and handover. The process starts with development plots, then follows each plot and home through the stages needed to prepare it for sale and customer handover.
The home journey also covers the logistics of each home, including collection, delivery to site, site activity and checks. This gave Regency a more complete way to track progress from plot development through to the final customer experience.
Quality assurance and snagging were brought into the same structured process. Checklists are managed digitally, reducing the need for printing, scanning and uploading paperwork. Snagging is also easier to track, including whether a ticket has already been opened for a particular issue, helping the team avoid duplicate work and manage outstanding actions more clearly.
